Your email list is the one audience you own outright. The social platforms rent you theirs and change the rules every quarter; search sells you clicks one at a time. The list sits in your own systems, with the consent you collected, and it can do more than receive newsletters. This page is the checklist we use with clients to make it work for the other channels, without moving a single plain-text address out of the house.
1. Hash before anything leaves
Meta and Google both accept customer lists as hashed identifiers, never as plain emails. Normalise first (lowercase, trim spaces), then SHA-256 each address. Keep the hashing inside your own systems or your platform; the hashed file is what travels. How to check: open the export and confirm no readable address is in it.
2. Check the consent you actually have
A newsletter subscription is permission to email. Using the same address to build an advertising audience needs a legal basis that covers it, in the EU usually a documented legitimate interest for your own customers or explicit consent for prospects. How to check: your privacy notice names advertising audiences; if it does not, fix the notice before the upload.
3. Build three lists, not one
Engaged readers (opened or clicked in 90 days) for lookalikes and retargeting; recent buyers for a suppression audience that stops you paying to re-acquire your own customers; lapsed readers for a low-budget reactivation test. How to check: each list has a name, a date and a rule you could explain to a colleague in one sentence.
4. Upload to Meta as a customer list custom audience
Ads Manager, Audiences, Create audience, Customer list. Map the hashed email column, add country when you have it (match rates improve), and let Meta report the match size. Then build a lookalike from the engaged list and exclude the buyers list from acquisition campaigns. How to check: the audience shows a match size within a day and your acquisition campaign lists the buyers audience under exclusions.
5. Upload to Google as Customer Match
Google Ads, Audience manager, Customer list, hashed data. Customer Match works across Search, Shopping, YouTube and Gmail placements, and the same engaged and buyers lists apply. Google’s Customer Match guide lists the current eligibility rules. How to check: the list shows as eligible and the match rate is visible in Audience manager.
6. Carry your SEO keywords in the newsletter
Take the three pages your site most wants to rank for this quarter. Use their target phrase in a newsletter heading or a reading title, link to the page with UTM parameters, and watch the page’s clicks and dwell time in Search Console and analytics. Newsletter traffic is engaged traffic, and engaged traffic is what search engines read as a quality signal. How to check: the page appears in your analytics with newsletter as the source, and Search Console impressions for the phrase move over the following weeks.
7. Refresh on a schedule and measure the loop
Custom audiences decay. Refresh the engaged list monthly and the buyers list weekly if you can. Track three numbers: match rate, cost per acquisition with and without the suppression list, and newsletter clicks to the SEO pages. How to check: a one-line monthly entry in a shared sheet with those three numbers.
